Expense claim TRACKER
If your company have staff claiming expenses, particularly if they travel and especially in international companies, the TRACKER will probably save you a lot of processing time, and cost. If you recharge expenses to customers it is even more important because delays could lead to significant losses. Traditional paper based methods are still widely used, with the associated problems of delayed submissions and the consequences of that. Companies that are more advanced and have computer based processes don’t necessarily have adequate approval processes built into the system, so the delays remain, or approval is bypassed.
An inadequate expenses claim system also exposes your staff to risk. It is probably reasonable to say that staff have a right to expect their expenses to be properly scrutinized before approval and payment. The recent scandal in the UK over MP’s expenses is a good illustration of that.
The TRACKER is very simple to use. Staff can enter their expenses, edit them, upload related documents such as receipts etc, and when they are ready, submit them as a batched claim. Once submitted the group of people whose responsibility it is to review the claim and approve it will receive a notification. Any one of them can open the claim, review, approve or reject items or the whole claim. Any rejections are returned to the claimant for correction or deletion, while the rest of the claim moves up the approvals chain.
If it is a project environment, expenses are booked to projects, phases & tasks as appropriate and those items are directed to the relevant project manager for approval first.
No paper is required at any stage although a claim report can be produced if required and csv files can also be generated.
